Start with the approval and reuse problem
Bynder documents permissions for roles in Asset Workflow. Aprimo documents both collaborative reviews and structured Productivity Management workflows. That makes approval design a concrete comparison topic, but it does not establish which product is simpler or stronger. Ask each vendor to identify the modules, roles, and configuration included in its proposal.
Test 1: an asset that must not be published
Provide a draft image with an embargo and an external agency reviewer. Check who can find it, preview it, download it, approve it, and share it. Repeat through a portal or integration relevant to your business. Pass only when the observed access matches your written role matrix.
Test 2: replace an approved asset
Approve version one, publish it to a test destination, and submit version two for review. Reject the second version once, then approve a correction. Record which version users and destinations see at each step. Ask the vendor to explain where a downloaded copy or downstream cache falls outside automatic control.
Test 3: change the approval process
Add a regional reviewer and make one approval conditional. Have the intended administrator change the workflow and diagnose a stuck task. Record setup effort, required expertise, and the effect on work already in progress. A polished first demo does not reveal the cost of maintaining the process.
Test 4: evaluate AI in a named task
Choose asset search, metadata generation, or portal writing as a separate exercise. Use the same allowed inputs and success criteria where capabilities are comparable. Record wrong results, correction effort, and permission handling. A portal writing feature is not evidence of better asset search. No hands-on AI ranking is published here.
What should decide the shortlist
Keep both in consideration until your required asset journey and rights controls are demonstrated. Compare the proposed modules and ongoing administration, then commercial scope.
