How to evaluate a DAM beyond the demo

Test whether people can find, approve, and safely reuse the right asset.

Choose a real asset journey

Start with a creative brief and finish with an approved asset in the destination where it will be used. Include designers, marketers, external collaborators, and occasional users.

Test the awkward cases

Add near-duplicates, old versions, missing metadata, expired rights, embargoed content, and several languages. A clean demo library rarely exposes these issues.

Check permissions in practice

Verify search results, downloads, shared links, portals, and integrations for each role. Record what happens when rights expire or a user loses access.

Look at the administration

Change a taxonomy and an approval rule. Measure the effort to repair metadata, migrate versions, and troubleshoot a failed integration.

Evaluate AI with a fixed task

Use the same queries and asset set. Record relevant results, missed assets, inaccurate labels, correction time, and whether permission boundaries hold. Repeat the test.

Make the commercial scope explicit

Confirm storage, delivery, users, environments, modules, services, and support. Request an export demonstration before agreeing to a migration plan.
